Creating a new quote
Go to Quotes → New Quote in the sidebar, or click the + button.
Step 1 - Choose a client type (persona)
Pick a persona that matches your client - Honeymoon, Family, Corporate, Adventure, etc. This auto-applies the right theme, costing defaults, and block structure. You can skip this and set everything manually.
Step 2 - Paste the enquiry
Paste any WhatsApp message or email from your client. TripDraft reads it and extracts:
- Destination and country
- Travel dates
- Number of adults, children, and infants
- Client name and phone number
- Budget (if mentioned)
- Hotel preference (budget / standard / luxury)
The AI handles Hindi-English mixed text and Indian date formats (15th Dec, 15/12/2025, etc.).
Every extracted field is editable - review before creating the quote.
Step 3 - Review and confirm
Check the extracted details. Edit anything that's wrong. Add internal notes (not shown to the client). Click Create quote.
Adding content blocks
Once the quote is created, you're on the quote detail page. The Content Blocks section is where you build the itinerary.
Click Add block to add:
- Flight Details - sector, airline, date, departure, arrival
- Hotel Overview - nights, destination, hotel name, room type, meal plan
- Day Plan - day number, title, hotel, activities
- Inclusions / Exclusions - bullet lists
- Cancellation Policy - table with periods and charges
- Transfer Details - pickup/drop, vehicle, driver contact
- Payment Terms - advance %, due date, payment modes
- Free Text - any custom heading and paragraph
Blocks auto-save as you edit. Use the up/down arrows to reorder.
Smart suggestions
TripDraft suggests relevant blocks based on your quote context. If it's an international trip, it suggests a visa notes block. If you have a flight block, it suggests a transfer block. Click any suggestion to add it instantly.
Sharing with your client
Click Send on WhatsApp in the actions bar. This opens WhatsApp with a pre-filled message:
Hi! Your travel quote for [Destination] is ready. View here: [link]
The message uses your name and company name - not TripDraft's.
Your client opens the link on their phone and sees a fully designed quote. They can accept with one tap.
Tracking quote status
Quotes move through these statuses:
- Draft - not yet sent
- Sent - link shared with client
- Viewed - client opened the link (you get notified)
- Accepted - client tapped Accept
- Confirmed - you've confirmed the booking
- Expired - validity period passed
- Lost - didn't convert
You can change status manually from the quote detail page or from the Kanban board view on the Quotes list.
Quote validity
Default validity is 72 hours. You can change this per quote in the costing settings. When a quote expires, the client sees an "This quote has expired" message with a WhatsApp button to request an updated quote.
Version control
Every time you make significant changes, click Save snapshot in the Versions tab. This creates a restore point. You can restore any previous version at any time.
