The Complete Visa Documentation Checklist for Indian Outbound Agents

Visa rejections rarely happen because a client is unqualified. They happen because the paperwork is inconsistent, incomplete, or looks unprofessional. For an agent, getting the documentation right is a service you can charge for and a reputation you can build.

Here is the core checklist for most outbound visa applications from India.

The applicant documents

  • Passport valid for at least six months beyond the return date, with blank pages
  • Recent passport-size photographs matching the consulate's exact specification
  • Completed and signed visa application form
  • Confirmed return flight booking
  • Confirmed hotel bookings for the full stay

The itinerary

A day-by-day itinerary that matches the flight and hotel dates exactly. Consulates cross-check these. If the itinerary says five nights but the hotel voucher shows four, that mismatch alone can trigger a rejection. Generate the itinerary and vouchers from the same trip data so they always agree.

Proof of financial means

  • Last three to six months of bank statements
  • Income tax returns for the last two years
  • Salary slips for employed applicants
  • Business proof for self-employed applicants

The goal is to show the applicant can fund the trip and has reasons to return home.

The letters you prepare

  • Cover letter: introduces the applicant, states the purpose and dates, and lists the enclosed documents
  • Employer NOC: confirms leave is approved and the job is held on return, on company letterhead
  • Student NOC: the same, from the institution
  • Sponsorship letter: when someone else funds the trip, stating the relationship and who bears which costs
  • Invitation letter: when a host abroad is inviting the applicant

These should be formal, plain, and specific. Consulates expect neutral official letters, not branded marketing documents.

Keep every document consistent

The single biggest cause of avoidable rejection is a detail that does not match across documents: a date, a spelling of the applicant's name, a hotel address. Prepare all the documents from one source of trip data and check that names, dates, and amounts are identical everywhere.
