Most travel agents run on gut feel. Busy months feel good, quiet months feel bad, and the real health of the business stays a mystery. A handful of numbers, checked regularly, replaces that guesswork with clarity.
Here are the six that matter most, and what each one tells you.
1. Quote-to-conversion rate
Of the quotes you send, how many are accepted? This is the single most important number in your business. If you send 20 quotes and win 6, your conversion is 30%.
A low rate points to a problem in your quotes: presentation, pricing, or follow-up. A high rate might mean you are underpricing. Track it monthly and watch the trend.
2. Average deal value
Your total confirmed revenue divided by the number of trips. This tells you whether you are selling budget trips at volume or fewer premium trips. Neither is wrong, but knowing it helps you decide where to spend your effort. Nudging this number up with better upsells often beats chasing more leads.
3. Pipeline value
The total value of quotes that are sent but not yet decided. This is your near-future revenue. A healthy pipeline means the next few weeks are covered. A thin one is an early warning to generate more enquiries now, before the quiet month arrives.
4. Days to acceptance
How long, on average, from sending a quote to the client accepting. A short cycle means your quotes and follow-ups are working. A long one means quotes are going cold and you need faster follow-up or a validity timer to create urgency.
5. Top destinations
Which destinations bring you the most revenue and the most bookings. This tells you where to focus your rate cards, your content, and your expertise. It also reveals seasonal patterns, so you can prepare inventory and marketing before the demand arrives.
6. Repeat client rate
What share of your bookings come from clients who have travelled with you before. A rising number means your service and follow-up are working, and your business is getting more efficient. A falling one means you are refilling a leaky bucket with expensive new leads.
Reading the numbers together
No single number tells the whole story. A high conversion with a thin pipeline means you close well but need more leads. A strong pipeline with slow acceptance means you generate interest but lose momentum in follow-up.
You do not need a spreadsheet ritual for this. In TripDrafts, the analytics dashboard shows conversion, average value, pipeline, top destinations, and seasonal demand automatically, with opt-in peer benchmarks so you can see how you compare. Check it once a week, and you will always know exactly where your business stands.
