MICE Proposal Template: How to Write Winning Event Proposals

The difference between winning and losing a MICE deal often comes down to the proposal. Not the price - the presentation. A structured, professional proposal signals competence. A messy email with rates pasted in signals risk.

This guide gives you the exact template and structure that wins corporate event business.

Why Your Proposal Format Matters

When a company evaluates 3–5 travel agents for a corporate event, here's what they compare:

  • Clarity - can they understand the quote in 60 seconds?
  • Completeness - are all costs covered or will there be "surprises"?
  • Options - can they compare Budget vs Premium easily?
  • Terms - are payment terms, cancellation, and inclusions clear?
  • Professionalism - does it look like it came from someone who handles ₹20 lakh events?

Most travel agents send a WhatsApp message or a plain email with rates. That's your opportunity - send a proper proposal PDF.

The Winning MICE Proposal Structure

  • Include actual photos (not stock) if you've done a recce
  • Offer 2–3 options (Budget, Standard, Premium) in the same PDF
  • Number your pages and include a table of contents for 10+ page proposals
  • Send as PDF (never editable Word doc)

Don't:

  • Use Comic Sans or cluttered layouts
  • Include 20 pages of hotel brochure text
  • Hide costs or use vague language ("charges as applicable")
  • Copy-paste the same proposal for every client - personalize

Multi-Option Proposals

The most effective MICE proposals offer options:

Option A: Goa (₹22,000/head)

  • 4-star resort, standard conference facilities
  • Best for: budget-conscious, large group

Option B: Jaipur (₹28,000/head)

  • Heritage property, wow factor
  • Best for: mid-range, impressive but controlled cost

Option C: Udaipur (₹38,000/head)

  • Lake-facing luxury, premium experience
  • Best for: small group of top achievers, high-impact

Let the client choose. You've already done the work - they just pick.
