Europe Tour Pricing Breakdown: How to Quote European Packages from India

Europe is a high-value destination for Indian agents - packages typically range from ₹1.5 lakh to ₹8 lakh+ per person. The margins are good, but the complexity is high: multiple countries, Schengen visa, varied currencies, internal flights/trains, and clients who've been watching travel vlogs with wildly different budgets.

Here's how to break down and price Europe packages correctly.

Schengen visa basics

All 27 Schengen countries are covered under one visa. Apply at the embassy of the country where the client will spend the most nights.

  • Processing time: 15–45 working days (apply early)
  • Fee: €80 (approximately ₹7,000–₹8,000) + VFS service charge
  • Required documents: Travel insurance (min €30,000 coverage), hotel bookings, return flights, bank statements (3 months), cover letter, passport photos
  • Success rate for Indian applicants: Generally high if documentation is clean

Agent tip: Help clients prepare visa documentation - it's a value-add that builds trust and justifies your service fee.

Seasonal impact

SeasonMonthsImpact
Peak summerJune–AugustHighest prices, best weather, crowded
ShoulderApril–May, September–OctoberBest value - good weather, lower rates
WinterNovember–MarchCheapest (except Christmas markets), cold, shorter days

Pro tip: Sell September–October Europe trips. Weather is still pleasant, crowds thin out, and prices drop 15–25% from peak summer.

Common quoting mistakes

  1. Underestimating Switzerland costs - everything in Switzerland is 2–3x other European countries
  2. Forgetting city tax - many European cities charge €2–€7/person/night tourist tax (not in hotel rate)
  3. Not accounting for internal transport - Europe is bigger than it looks; Paris to Zurich is not a "short drive"
  4. Quoting EUR/GBP without buffer - add 4–5% forex buffer
  5. Ignoring visa processing time - if visa gets delayed, flights may need rebooking at higher rates
  6. Not explaining TCS - at ₹3 lakh+ packages, ₹6,000+ TCS needs explanation upfront
